Junakalusto Oy improves the transparency of project management and reporting and the predictability of resource use with Microsoft Project for the Web and Power BI tools.

Pääkaupunkiseudun Junakalusto Oy owns and manages the Helsinki Region Transport (HSL) commuter train fleet. The company acquires, finances, and maintains the region’s trains and ensures their lifecycle management so that passengers in the HSL region can travel safely, reliably, and with high quality.
Junakalusto Oy has recently implemented new digital tools to improve project management and reporting transparency. The solution chosen was Microsoft’s Project for the Web tool, currently known as Planner Premium, and Power BI reporting tool, which work in the familiar Microsoft environment.
”We have quite a few large stakeholders, so Microsoft tools are clearer and easier to use with them,” says Jani Luoma, Fleet Director of Junakalusto Oy.
In particular, using the tools directly in Microsoft Teams has made working more efficient, with Teams being one of the main tools used by Junakalusto Oy personnel. The new tools are used in projects that involve the lifecycle management of approximately 80 trains.
Better transparency and predictability in projects
Improved transparency in project management and reporting helps predict resource usage more accurately. Having schedules and tasks in one place makes it easier to track projects and ensure they are progressing as planned.
Microsoft Project for the Web enables real-time project scheduling and workload management. The tool allows Junakalusto Oy to react quickly to potential changes and ensure that resources are used efficiently.
Power BI, on the other hand, provides visual and interactive reports that can be used to analyze and track project progress, compare projects, and make informed decisions. Power BI reports are updated automatically, which has reduced the amount of manual work with Excel spreadsheets and PowerPoint presentations at Junakalusto Oy.
”We know much better where our workload is distributed and where potential pain points are. We can also better predict resource usage in the longer term. However, in a small organization like ours, we need to be well aware if we encounter insufficient resources,” Jani explains.
