Junakalusto Oy improves project management and reporting with Microsoft Project for the Web and Power BI tools, ensuring transparency of resource use in train lifecycle management.

Pääkaupunkiseudun Junakalusto Oy is a company that owns and manages the Helsinki Region Transport (HSL) commuter train fleet. The company’s main task is acquiring, financing, and maintaining the region’s trains.
In addition to acquiring and financing trains, Junakalusto Oy’s operations include life cycle management, i.e., the company is responsible for the maintenance, renovations, and other necessary modifications of the trains.
At the core of Junakalusto Oy’s operations is to provide safe, reliable, and high-quality train connections to passengers in the HSL area.
Transparency in project management and reporting
Junakalusto Oy has recently invested in digital tools to improve project management and reporting transparency.
The solution chosen was to implement Microsoft’s Project for the Web tool, currently known as Planner Premium, and the Power BI reporting tool in cooperation with Solu Digital’s expert.
”We wanted to make project and workload management transparent, i.e. to have clear schedules and tasks in one place, through which we can monitor resource use and ensure that our projects progress on schedule,” says Jani Luoma, Fleet Director at Junakalusto Oy.
Jani is responsible for the operational aspects of the company’s lifecycle. Junakalusto Oy owns approximately 80 trains, for which new tools are used to manage their lifecycle.
Real-time project monitoring in a familiar Microsoft environment
With the introduction of new tools, the company can monitor the progress of projects in real-time and ensure that all parties are aware of the current status of the projects.
Junakalusto Oy has been able to streamline project management and improve information transparency with the help of new tools. Manual work on Excel spreadsheets and PowerPoint presentations has also been reduced as Power BI reports are updated automatically.
The choice of Microsoft tools as the new project management and reporting solution was natural, as Junakalusto Oy already uses Microsoft 365 tools.
”We have quite a few large stakeholders, so Microsoft tools are clearer and easier to use with them.”
Project for the Web and Power BI are available directly in Microsoft Teams, which makes working easier and faster, as Teams is one of the main tools used by the Junakalusto Oy personnel.
Predictability for resource management
With Power BI, a company can produce reports for each project in the same format, which helps stakeholders compare projects better and understand project progress and potential challenges.
“Power BI reporting can make reporting and project management more transparent and manageable,” says Jani. Project monitoring and sharing information is easier than before, which has improved the company’s efficiency and competitiveness.
”We know much better where our workload is distributed and where potential pain points are. We can also better predict resource usage in the longer term. However, in a small organization like ours, we need to be well aware if we encounter insufficient resources.”
